01Who we are
West Coast Exteriors ("we", "us") is a referral service operating in Metro Vancouver, British Columbia. We are not a contractor. We do not perform siding, cladding or any other exterior work. We connect homeowners with independent, licensed specialists who do.
This policy explains how we handle personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), British Columbia's Personal Information Protection Act (PIPA), and Canada's Anti-Spam Legislation (CASL).
02What we collect
We collect three kinds of information.
- You give us
- Name, phone number, email address, and the project details you enter in our form: type of work, property type, timeline, city or municipality, approximate scope and approximate budget.
- Collected automatically
- IP address, approximate location, device and browser type, referring page, pages viewed and time on site. Collected through cookies and similar technologies.
- From advertising platforms
- If you submit a form directly inside Facebook or Instagram, Meta passes us the name, contact details and answers you provided there.
We do not ask for and do not want financial information, government identification, or any sensitive personal data. Please do not send it to us.
03Why we collect it
- To match you. Your material, property type and municipality determine which specialist is the right fit.
- To let them reach you. Your contact details are passed to that one specialist so they can call, text or email you about your project.
- To follow up. We may contact you to confirm details before matching, or to check the specialist reached you.
- To improve the service. Aggregate, non-identifying analytics tell us which pages and questions work.
- To meet legal obligations. Record-keeping and responding to lawful requests.
We do not use your information for automated decision-making that produces legal effects.
05Your matched specialist
Specialists in our network pay us a fee to receive a matched project. The service is free for homeowners — you never pay us anything.
Once we pass your project to a specialist, that business becomes independently responsible for the information it holds about you. Their own privacy practices apply to how they store and use it. We ask every specialist in our network to hold valid BC licensing and liability coverage, but we do not control their internal data handling.
If you want a specialist to delete what they hold, contact them directly. We are happy to give you their contact details and to pass the request along.
06Consent & withdrawal
When you submit our form and tick the consent box, you give express consent under CASL to be contacted by phone, text or email by us and by your matched specialist about your project.
You can withdraw consent at any time. Email info@westcoastexteriors.ca or reply "stop" to any message. We will action it within ten business days. Withdrawing consent does not affect anything done beforehand, and you may need to contact your matched specialist separately for their own communications.
07Cookies & tracking
We use a small number of cookies and tracking technologies:
- Essential. Needed for the site and form to function.
- Analytics. Google Analytics 4, to understand aggregate usage.
- Advertising. The Meta Pixel, which tells Meta when someone who saw our ad visited the site or submitted a form, so our advertising can be measured and improved.
You can block cookies in your browser settings. You can opt out of Google Analytics with the Google Analytics opt-out add-on, and adjust Meta advertising in your Facebook ad preferences. Blocking cookies may affect how parts of the site work.
08How long we keep it
We keep project submissions for 24 months from the date you send them, then delete them. We keep records of consent and of communications for as long as needed to demonstrate CASL compliance. Aggregate analytics that cannot identify you may be kept indefinitely.
You can ask us to delete your information sooner — see section 10.
09Security
We use HTTPS across the site, limit access to submissions to those who need it, and work only with established service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.
10Your rights
Under PIPEDA and BC PIPA you have the right to:
- Access the personal information we hold about you.
- Correct anything inaccurate or incomplete.
- Withdraw consent and ask us to stop contacting you.
- Request deletion, subject to any legal retention requirements.
- Ask how your information has been used and who it was shared with.
Email info@westcoastexteriors.ca and we will respond within 30 days. We may need to verify your identity first.
If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
11Children
Our service is for homeowners and is not directed at anyone under 18. We do not knowingly collect information from minors. If you believe a minor has submitted information, contact us and we will delete it.
12Changes to this policy
We may update this policy as our service changes. The effective date at the top always reflects the current version. Material changes affecting how we share your information will be posted prominently on this page.
